The City of Long Beach
The Challenge
The City of Long Beach (CoLB) needed several large electronic
documents to be readily available to a select group of city
officials. The files were necessary for entry into the bidding
process for the Façade Improvement Project, a $1.2 million dollar
project which would renovate a stretch of Long Beach business
fronts. CoLB maintains a website devoted to bid proposals where
documents supporting a proposal may be instantly uploaded to the
site. However, the site allows a maximum file size of just 5MBs. Mr.
Takaki, CoLB’s Senior Project Manager, wished to upload 19
architectural drawing files (at 3MB each) and six supporting
addendums. Takaki’s complete proposal consisted of 25 files at
approximately 65 MBs of information. The written bid proposal was
complete and ready for submission, but needed to include the 19
architectural renderings and six supporting documents.
The Solution
CoLB required a solution that could provide access to the documents
within the proposal deadline.
CoLB met the City’s needs by utilizing SharePoint360 technologies
and efficiencies. SharePoint360 created a collaboration website and
Mr. Takaki successfully uploaded the required proposal documents.
Several architects in remote locations were able to upload their
information as well, and a proposal document was created which
included an embedded link to the Façade Project Website. The
document was successfully uploaded to the CoLB proposal website and
was sent to several contractors within hours of initial request to
SharePoint360.
The Result
SharePoint360’s handled CoLB’s need for electronic space efficiently
and effectively. The flexibility of SharePoint’s technologies
allowed Mr. Takaki to upload information from several locations and
collaborate within the site. In addition, CoLB avoided the cost and
delay of physically printing the architectural renderings and
supporting documents while still delivering the required information
within the limited timeframe.
